CERF 2017 Student Volunteer

Please contact the CERF office if you have any questions regarding the volunteer opportunities. We will be closing additional volunteer registration on October 30, 2017. Due to scheduling availability, submission of this form does not guarantee volunteer shifts. 
If you registered to be a Student Volunteer at CERF 2017, you will receive an email with scheduling information. Before you sign up of your shifts, please review the volunteer descriptions below. As a CERF Student Volunteer, you will exchange a few hours of your time for a reimbursement of $180 for conference registration fees. By serving as a Student Volunteer, you get the benefits of attending the conference with little or no fee, the opportunity to meet and network with hundreds of others in estuary and coastal science, and a cool CERF Student Volunteer t-shirt!

Each Student Volunteer is required to work shifts adding up to a minimum of 6 hours total in order to be eligible to receive your reimbursement check. There are many different volunteer roles, ranging from being an Art Docent for CERF’s invited artists display, to helping at the registration desk or serving as a room monitor during oral sessions. Please check out the descriptions of the volunteer positions to see which ones might be the best fit for you.

 

Art Display

  • Help local artists set up their displays in the Exhibit Hall
  • Monitor display, direct people, etc. during exhibit hours
  • Assist local artists as they tear-down their displays at the end of the conference

Auction Set-up, Monitor, and Item Pick-up, and Info Desk

  • Set up – help set up various auction items
  • Monitor auction area and staff poster/auction info desk
  • Provide directions and answers to attendees
  • Pick up – help distribute items to winners

Career Networking Dinner Set-up

  • Help set up, set table tents, direct people to tables and then participate in the Career Networking Dinner.
  • Dinner included!

CERF Inclusion Lunch

Tuesday, November 7

11:00 am - 1:30 pm

  • Assist with room and table set up
  • Provide information and directions to attendees
  • Check for attendee's tickets upon arrival
  • Assist with microphones during question and answer portion of the lunch/program
  • Other various tasks as assigned

Club CERF Event Assistant

Tuesday, November 7

6:00 pm - 8:00 pm

  • Take event tickets at the door
  • Direct attendee traffic to and from bus shuttles
  • Assist event organizers at off-site location (Snookers Bar and Grill)

Club CERF Shuttle Bus Dispatch

Tuesday, November 7

  • Assist attendees by directing them to bus shuttles at the Rhode Island Convention Center
  • Make sure attendees have their Club CERF tickets (or will be purchasing one at the door)

Coastal Cabaret Set-up

Thurs., November 9

3:00 pm - 5:30 pm

  • Help the organizers of the Coastal Cabaret as they prepare for the evening's show
  • Help set up musical equipment
  • Assist as needed during rehearsal and sound checks
  • Other various tasks as assigned

Field Trip Assistant

Sunday, November 5

Various times

  • Help direct people to the buses for their specific field trip
  • Help fill in at the conference registration desk as needed
  • Other various tasks as assigned

Judging Results Distribution

Thurs., November 9

  • Help pass out judging sheets and notes at the Closing Awards Party
  • Assist in set-up of distribution tables
  • Other various tasks

Mentor/First-timers Desk Assistant

Sunday., November 5

  • Welcome first-time attendees, mentors and mentees to the conference
  • Provide information about the mentoring program
  • Encourage first-time conference attendees to attend the First-timers Orientation session on Sunday evening

Ocean Frontiers III Film Room Monitor

Monday., November 6

11:00 am - 1:00 pm

 
  • Help direct people to room
  • Troubleshoot; seek assistance from AV technician if necessary
  • Monitor room while viewing Ocean Frontiers III film and report any issues or concerns to conference organizers.

Poster Hall
Set-up and

  • Help prepare for the poster sessions to be held on Monday and Wednesday
  • Post position numbers on poster boards, help organize poster information desk and other necessary tasks
  • Help take down posters

Registration Desk Assistant

Sunday - Thursday

Various times

  • Assemble, move and generally manage conference printed programs and other registration literature 
  • Assist participants with check in, name badges and material
  • Provide information about the meeting, locations of meeting areas and events of the conference
  • Help conference staff put out materials, signs, and announcements each day
  • Place directional signage and help guide attendees to meeting rooms
  • Pick up/replace outdated directional signage 
  • Perform other duties as assigned

Session Room Monitor

Monday - Thursday

Various times

  • Direct people to session room
  • Troubleshoot, assist with presentation, find AV technician if needed
  • Monitor room for any needs or issues
  • Take a count of approximate number of attendees and report it back to registration desk at the end of the session
  • Relay questions and issues to conference staff

Speaker Presentation Room Monitor

Sunday - Thursday

Various times

  • Help keep speakers organized and ready to work with technicians in the Speaker Presentation Room 
    • Speakers will be helped on a first-come, first-served basis, except in cases where their presentation is within 2 hours. The job of the volunteer is to “triage” the situation and jump emergency cases to the front of the line.

Student Judging Assistant

Sunday - Thursday

Various times

  • Help distribute judging packets and collect completed judging forms within sealed envelopes
  • Assist with the printing of any additional materials needed
  • Collect names of new judge volunteers
  • Take down information from Judges if they report a conflict and provide it to Student Judging leads
